Plans & billing
Every web feature in Tobren Operations is available on every plan. Plans differ by how much you can put in the workspace — crew, aircraft, and file storage — not by which parts of the product you are allowed to use. Scheduling, checklists, maintenance, compliance reports, jobs, quotes and invoices all work the same on Free as on Commercial. The one exception is the archived PDF of a compliance report (see the end of this page).
You choose a plan during setup; nothing is picked for you, and Free is a plan you choose, never one you are dropped onto.
Flight logs are never capped, on any plan.
The plans

| File storage | 1 GB | 5 GB | 10 GB | 50 GB | 200 GB | Unlimited |
| Flight logs | Unlimited | Unlimited | Unlimited | Unlimited | Unlimited | Unlimited |
Billed annually, a plan costs 15% less per month than paying monthly — the annual figures above are that monthly-equivalent rate; you are charged once a year, up front.
Free is a personal-logbook tier: one pilot, a primary aircraft and a backup. It is not a time-limited demo and does not expire.
Crew is the step for adding a second person — a visual observer or a second pilot — without a 3.4x jump straight to Fleet.
Enterprise is negotiated rather than self-serve. Email sales@tobren.io.
The 14-day trial
Section titled “The 14-day trial”Choosing a paid plan starts a 14-day free trial. Setup asks for a card first, and you are not charged during the trial. A trial needs a verified email address, and each address gets one; without a trial, setup shows the price, takes the card, and you confirm the first charge right after setup. The workspace stays on Free until you do. If your address has had a trial and you think it should get another, setup names the support address to write to, on the web and in the app.
A promo code that doesn’t need a card starts the trial with no card: apply it on the plan step and the card step is skipped. A code never skips the card when the plan starts paid. The mobile app can’t take a card yet, so from a phone a paid trial needs such a code; otherwise set up on the web. You can add or replace the card any time in Settings → Billing.
Starting about 3 days before the trial ends, and only if no card is on file, every member who opens the app sees a dismissible reminder with a countdown. It shows again on each app open, and a marker with the time left stays on the About screen.
When the trial ends:
- If you have a card on file, the first charge runs and the plan continues.
- If you have not, everything keeps working for 3 more days, with the same reminder (now “Your trial has ended”) counting down. After that the workspace becomes read-only (suspended): see Suspended workspaces. It does not fall back to Free on its own — Free is a plan you choose. Nothing is deleted at that point.
You can cancel during the trial and never be charged.
Promo codes
Section titled “Promo codes”Setup has an optional promo code field on the plan step. Depending on how it’s configured, a valid code can set a longer trial, take money off your first charge, waive the card step, or allow a trial for an address that has had one before. A code never waives the card when the plan starts paid. A code entered with the Free plan is ignored. A code that doesn’t exist, has expired, was switched off or has been used up is refused with the reason, and setup waits until you correct or clear it.
A code can be limited to certain plans or to monthly or annual billing. The plan step says which, and setup refuses the code for any other plan or billing, naming the one you chose.
Discount codes take a percent or a dollar amount off your first charge only:
- The discount comes off the full price of the billing you chose. On annual billing that’s the year’s price, so it adds to the annual saving. A percent is rounded down to the cent.
- A dollar amount larger than the first charge brings it to $0, never below. Whatever is left over isn’t carried to later charges.
- With a trial, nothing is charged at signup. The discount waits for the first charge when the trial ends. If the trial lapses first, it comes off the charge that restarts the plan.
- Without a trial, it comes off the charge you confirm right after setup. The confirmation shows the amount actually charged, with the discount (and any account credit) already taken off, and says how much the discount is.
- Account credit, if you have any, is used after the discount.
- Your receipt shows the discount as its own Promo discount line.
- Every charge after the first is at the plan’s normal price.
- The discount applies only to the plan and billing you chose at signup. Switching to another plan or billing before the first charge, or moving to Free, removes it, and Settings → Billing says so before you confirm. Restarting the same plan after a lapsed trial keeps it.
A discount never removes the need for a card.
Changing or cancelling a plan
Section titled “Changing or cancelling a plan”Everything happens in Settings → Billing in the app. There is no separate billing portal to sign in to.
From there you can:
- Switch plan, or switch between monthly and annual (a Billing cycle toggle on the plan cards). Moving between paid plans takes effect immediately with no proration: your current period runs out, then renews at the new plan’s rate.
- See usage against your limits for aircraft, crew members and storage.
- Add, Replace or Remove the card on file. Removing it stops automatic charges until you add another.
- Cancel subscription, and undo it with Keep subscription before it takes effect.
- Read and download receipts and invoices as PDFs. Every billing day gets a receipt, $0 ones included; a period with a balance due gets an invoice instead.
Moving from Free to a paid plan, trial or not, needs a card on file, the same as at setup. So does switching from one paid plan or billing cycle to another, during a trial too: nothing is charged at the switch, but the next renewal charges the new plan, so a card has to be there for it. If there isn’t one, choosing the plan asks for the card first and then makes the change. Switching to Free never needs a card, and neither does a plan your workspace’s agreed rate makes $0.
Only the Account owner can change the plan or the card; admins and members see the screen with the controls disabled and the reason (“Owners only”).
Cancelling
Section titled “Cancelling”Cancel subscription keeps the plan active until the end of the paid period (or the trial), then the workspace becomes read-only, not Free. You are not charged again. Before that date you can choose Keep subscription, or Switch to Free if your workspace fits within Free’s limits. If there is no paid time left, you move to Free immediately. The owner is emailed a confirmation.
Hitting a limit
Section titled “Hitting a limit”Adding past the limit is refused, and the message names the numbers. Trying to add a fourth aircraft on Solo returns “The solo plan allows 3 aircraft, and your organization already has 3”, with the two ways out: upgrade, or archive one you no longer use. Crew members behave the same way. Only aircraft your organization owns count — an airframe another org has shared with you does not use up your allowance.
Downgrading below what you are already using is refused too, and this is the one that surprises people. You cannot move from Fleet to Solo while eleven crew members are active; the app tells you how many to archive first. Tobren will not silently pick which of your crew or aircraft to cut off — that choice stays yours, and you make it before the plan changes, not after.
If your organization ends up over a limit (for example after a plan’s limits are lowered), an owner or admin sees a banner naming what is over and how to fix it: remove what you no longer use, or upgrade. Nothing has been removed; you can’t add more of what is over until you’re back within the limit.
Nothing is ever deleted for being over a limit. If you move to a smaller plan or to Free, everything you created stays exactly where it is and stays readable. Storage behaves the same way: past the cap, new uploads are refused and existing files are untouched.
If a renewal payment fails
Section titled “If a renewal payment fails”A declined renewal does not cut off the workspace immediately. The account enters a grace period of 7 days, during which everything keeps working and every member sees a reminder with a countdown (“Your last payment didn’t go through”). Update the card under Settings → Billing; the charge is retried on the next daily billing run. If no charge succeeds in that window, the workspace is suspended — read-only, with nothing deleted. See Suspended workspaces.
Emails about your plan
Section titled “Emails about your plan”Billing emails go to the owner and are listed on Emails you receive.
Compliance report artifacts
Section titled “Compliance report artifacts”Generating and reading compliance reports is included on every plan. Downloading the archived PDF artifact of a report is included on paid plans, and available on Free as a one-time $12.99 audit pack purchase.
