FAQ & troubleshooting
Most of what looks like a bug in Tobren Operations is a permission floor or a plan limit doing its job. This page covers the ones people hit most, and what to do about each.
“Edit” is missing on an aircraft
Section titled ““Edit” is missing on an aircraft”Two different things hide it, and they are worth telling apart.
You are not an admin. Editing aircraft details requires the admin role. Ask an admin or the org owner in your workspace.
Your organization does not own that aircraft. An airframe can be shared with your organization — as a renter, an operator, or a viewer — and shared access is read-only by design. The aircraft record is the same record for everyone it is shared with, so only the owning organization can change it. When this is the reason, the page says so: “Only the owning org can modify this aircraft.”
With a renter or operator share you can still log flights, ground the aircraft, and track your own maintenance against it. Those are yours. A viewer share is view-only: the aircraft is listed when you log a flight but can’t be chosen, because every filed flight adds to the owner’s airframe hours. A flight already in the air when the share became view-only can still be closed (its end time added), but not changed or filed. Ask the owning organization for operator or renter access.
“Log Service” is greyed out
Section titled ““Log Service” is greyed out”Recording a maintenance service log is org-owner only — a tighter floor than the rest of maintenance, which admins and members can use. Hover the button and the reason is in its label: Owners only.
This catches admins, not just viewers, so “but I’m an admin” is expected here.
“Apply template” is greyed out
Section titled ““Apply template” is greyed out”Applying a maintenance template needs the member role or higher. Someone with view-only access to the organization cannot apply one. Ask a teammate with edit access.
I can’t add another aircraft or crew member
Section titled “I can’t add another aircraft or crew member”You are at your plan’s limit. The message names the numbers — “The solo plan allows 3 aircraft, and your organization already has 3” — and there are two ways forward: archive one you no longer use, or move up a plan. See Plans & billing.
Aircraft shared to you by another organization do not count against your limit.
I can’t downgrade my plan
Section titled “I can’t downgrade my plan”Downgrading is refused while you are still using more than the target plan allows, and the message tells you how many to archive first. Tobren will not choose which of your crew or aircraft to cut off — you make that call before the plan changes.
A compliance report asked me to pay
Section titled “A compliance report asked me to pay”Building and reading compliance reports is free on every plan. Downloading the archived PDF of one is included on paid plans, and on Free it is a one-time $12.99 audit pack. The message offers both routes; neither is a dead end.
“Your organization’s subscription is suspended”
Section titled ““Your organization’s subscription is suspended””Changes can’t be saved because the workspace is read-only until a plan is chosen. You can still sign in, view and export everything. Only the Account owner can fix it; see Suspended workspaces.
A crew member can’t see the schedule
Section titled “A crew member can’t see the schedule”Each membership carries a schedule-visibility setting with two tiers:
- Full schedule — sees the whole organization’s schedule, events and flight logs. This is the default.
- Own assignments only — sees just the flights they are assigned to.
Owners and admins always see the full schedule regardless of the setting. If someone is missing entries they expect, check their tier in the crew member’s settings first.
I lost my two-factor device
Section titled “I lost my two-factor device”Use a recovery code. If those are gone too, use the email option on the recovery page; the full procedure is in Account & security.
The mobile app won’t sync
Section titled “The mobile app won’t sync”Work in the app is saved to the device first and syncs when a connection returns, so “no bars” is not itself a sync failure — a queued change is still safe.
If sync still doesn’t catch up once you have a connection, report it with the in-app Feedback button and include roughly when it started. Plans differ only by how many crew, aircraft and gigabytes you can have; they don’t switch sync off. See The mobile app for what the app does and doesn’t cover.
What the mobile app can’t do offline yet
Section titled “What the mobile app can’t do offline yet”Offline work is saved on the device and sent when you’re back in coverage. A few limits are worth knowing before a day with no signal:
- Two devices, one record. If someone else changes a record while your change is
waiting to send, what happens depends on the record:
- A flight’s status (start, stop, cancel): the change that reached Tobren Operations first stands. Yours is not applied. It is recorded for dispatch to review, and Unsynced work lists it under Replaced by a newer version, showing what didn’t go through, until you dismiss it.
- A flight log that was filed in the meantime: a filed log can’t be edited in place, so your edit stays on the device. Unsynced work shows your version next to the filed one. File a correction from the web app, then discard your copy.
- Anything else waits in Unsynced work with both versions shown, for you to send yours again or discard it.
- Edits to a draft flight log from two devices: the app compares them. If the log changed after you opened it, your edit waits in Unsynced work with both versions shown, and is sent again on top of the newer version once. Edits made in the web app are not compared yet; there, the last edit to arrive wins.
- A change waiting for your decision holds back only later changes to the same record. Everything else keeps sending.
- Signing out deletes changes that haven’t sent yet. The app tells you how many first. Get back in coverage and let them send before you sign out. The one exception: if Tobren ended your sign-in, or your workspace started requiring two-factor, signing out keeps the changes from the workspace you were in, and they send when you sign back in with the same account to the same workspace.
- Editing a scheduled flight you’re crewed on needs one connection per session to confirm you’re on it, unless you’re an owner or admin. If you open the app with no signal, editing that flight waits until you’re back in coverage.
I sent a share link to the wrong person
Section titled “I sent a share link to the wrong person”Open the document — the report, quote, or invoice — and use Revoke link. The link you sent stops working immediately, and a new one takes its place for you to send to the right person.
Revoking does not delete the document or affect anyone signed in to your workspace. It only kills the public URL.
Something else is wrong
Section titled “Something else is wrong”Use the Feedback button in the app. It carries the context of the page you were on, which is usually the difference between a fast fix and a long thread.
